📌 Important Guidelines

🧭 Discipline

• Participants must follow all instructions given by the trek leader.

• Maintain respectful behavior towards fellow participants, volunteers, and the environment.

• Any misconduct affecting safety or group experience may lead to immediate removal without refund.

🚭 Smoking & Alcohol

• Smoking and consumption of alcohol are strictly prohibited during the trek.

• Violation will result in expulsion without refund.

👥 Instructions by Trek Leader & Volunteers

• All participants must follow guidelines provided by the trek leader and volunteers.

• Non-compliance may lead to disciplinary action.

🔄 Changes & Cancellations

• The trek leader reserves the right to modify the itinerary or cancel the trek due to weather or unforeseen circumstances.

• Participants will be informed of any changes at the earliest.

❤️ Health & Fitness

• Participants must ensure they are physically fit for the trek.

• Any pre-existing medical condition must be informed to the team in advance.

• The team is not responsible for health issues or injuries during the trek.

💻 Booking Policy

• All bookings must be done online via the Deccan Hikers and Outdoors official website.

• On-the-spot payments are not accepted.

🔁 Cancellation & Refund Policy

We understand that cancelling a trek after planning can be disappointing. Hence, we follow a traveller-friendly cancellation policy.

💳 Pending Payment Policy

• Complete the pending balance at least 5 days before departure.

• Failure to pay the second instalment may lead to cancellation and forfeiture of the advance.

• Boarding will be denied for non-payment, and the seat will be allotted to another participant.

(More than 4 nights)

• 30+ days before trek:
  Full refund as a Trek Coupon or monetary refund with 20% cancellation charge

• 20–30 days before trek:
  80% refund as Trek Coupon or monetary refund with 50% cancellation charge

• Less than 20 days:
  No monetary refund; 50% Trek Coupon only

• Less than 15 days:
  No refund

• Medical illness:
  No refund; replacement allowed if arranged by the participant

🌄 Sahyadri Treks, Camping & Weekend Backpacking

• 30+ days before trek:
  Full refund as Trek Coupon or monetary refund with 20% cancellation charge

• 20–30 days before trek:
  80% refund as Trek Coupon or monetary refund with 50% cancellation charge

• Less than 20 days:
  No monetary refund; 20% Trek Coupon (only if fully paid)

• Ticket transfer:
  20% surcharge (subject to organiser approval)

• No-show / illness:
  No refund; replacement allowed

• Advance booking amount:
  Non-refundable

⚠️ Important Notes

• No refund 15 days before New Year & Christmas events.

• Trek insurance, train cancellation charges, and agent fees are non-refundable if cancelled within 6 days before departure.

🚫 If Deccan Hikers and Outdoors Cancels the Trek

• Natural calamities / unrest: No refund once the trip has started

• Before departure: Full refund (excluding train/bus cancellation charges)

• Sahyadri treks (low participation): Event shift or full refund

• Medical emergencies / COVID: Regular cancellation policy applies

• Transport issues: Alternate arrangements made; extra costs borne by participants

⏳ Trip Delays & Missed Connections

• Assistance will be provided for alternate arrangements.

• Additional costs must be borne by the participant.

Any additional costs due to itinerary changes caused by natural calamities, transport delays, roadblocks, or vehicle breakdowns are beyond the control of Deccan Hikers and Outdoors and must be borne by participants.
